Security and data handling
How Autessa CRM protects your customer data
Autessa CRM runs inside your Autessa workspace with Autessa sign-in and role-based access. History that matters, notes and every deal stage move, is append-only; contacts are soft deleted; email is logged without changing your mailbox; and AI proposes changes that people confirm.
Controls
What protects your CRM data?
| Area | How Autessa CRM handles it |
|---|---|
| Sign-in | Autessa sign-in. Access to the CRM is granted per person in your Autessa company. |
| Roles | Administrator, Sales Manager, Sales Rep and Read Only. Reps edit what they own and unowned records and never delete or reassign; managers edit, delete and reassign; read only changes nothing. Access fails closed while identity is loading. |
| History you cannot rewrite | Notes are append-only, and the deal spine records every stage move with who, when and why, and cannot be edited or removed. |
| Deletes | Contacts are soft deleted and can be restored from Recently removed. Stages and vocabulary terms are switched off, never deleted. |
| Each person links their own mailbox. Logging reads headers and a snippet and never changes the mailbox; emails are sent one at a time by a person. | |
| Opt-outs | People tagged Do not email or marked unsubscribed are excluded from email and from lead scoring. |
| Private notes | My thinking on the business plan is private to its author in the app; the plan is shared only when the rep chooses. |
| Secrets | Integration keys such as Apollo are stored as sealed secrets; settings show only the last four characters and who set them. |
| AI | Jarvis uses read-only tools scoped to the viewer; every write is a confirm card. The contract reader shows its source for each field and never fills money. |
| AI Lead Capture | Saves a lead only after the visitor agrees to be contacted, never asks for passwords or payment details, and reminds visitors not to share them. |

Who can sign in to Autessa CRM?
People with an Autessa account in your company who have access to the CRM. Sign-in is handled by Autessa.
Can the AI change data without permission?
No. Jarvis reads with your own permissions and proposes every change as a confirm card. The email co-pilot drafts; people send.
Does it store my email?
It logs touches from message headers and a short snippet. Full threads shown on a contact are read live from the mailbox and not stored, and it never changes your mailbox.
