In one paragraph

What is Autessa Meeting Recorder?

Meeting Recorder is the AI notetaker built into Autessa. You create named recording bots, each with its own email address. A bot joins your Zoom, Google Meet and Microsoft Teams meetings when you invite it, paste a link or let a linked calendar decide, and you can upload recordings you already have. Every meeting is transcribed in the language spoken and summarized into a Big Picture, Highlights, Key Objections, Action Items by Person and a Goal for the Next Call. Participants get a recap email, you can share any recording with a personal, expiring link, and every meeting is kept as data your team and your agents can use.

What makes it different

More than a notetaker: a recorder your team controls

The basics are all here: recording, transcription, summaries and sharing. These are the parts that go further.

Summaries you control

Action items by person, in the format your team wants

Every meeting gets a structured AI summary: Big Picture, Highlights, Key Objections, Action Items by Person and Goal for Next Call. The template behind it is yours: each bot has its own summarizer you can rewrite, so sales gets objections and next steps, and hiring panels get evidence.
  • Written in the language the meeting was held in
  • Checklist of commitments under each person, with due dates
  • Retry summary after changing the template

Sharing that stays yours

Personal, expiring links, with an optional one-time code

Every recap and share link is tokenized per recipient, expires (seven days by default), can require a one-time code sent to the recipient's inbox, counts how many times it was opened, and can be revoked in one click.
  • Share by email or copy a link
  • Expired links refresh, or the viewer asks for a fresh one
  • Revoke all ends every link at once

Nothing silently lost

A plain-language reason, and the one retry that works

Every recording has a visible status from Scheduled to Done. When one fails, Meeting Recorder diagnoses why and offers the right fix: retry processing, transcription or the summary, or send the bot again. Waiting rooms and partial recordings raise alerts while there is still time to act.
  • Cancel a scheduled bot or remove it mid-meeting
  • Entry denied when the host never admits it
  • Hourly health checks on calendar and mailbox connections

Meetings as data

Every meeting is a row in a table you own

Media, transcript, language, summary, participants and status all land on one row of the bot's own AutessaDB table, with a legal-hold flag and a retention purge you can tune. Your agents, reports and workflows can use meeting notes like any other data.
  • A 180-day retention window by default, editable
  • Legal hold skips the purge
  • Query, report and automate on top

Open by design

A pipeline made of parts you can open and edit

Each bot is built from regular Autessa tools, agents, table triggers and scheduled jobs: extract audio, transcribe, summarize, notify and retention. Edit any stage, pause one, or add your own step after every meeting, and let your agents send a bot to a meeting with the Meeting Bot Dispatch tool.
  • Chat assistants are agents you can change
  • Triggers run each stage as its data lands
  • CLI and API read bots, upcoming meetings and recordings

Transcript, summary and answers from every meeting

The transcript has every word, attributed to speakers when known. The summary leads with the outcome and ends with commitments by person. And Ask this recording answers questions from the transcript, saying plainly when something was not discussed.
  • Transcripts in the language spoken
  • Chat inside Autessa can search past meeting summaries
  • Guests get a chat that only knows their one meeting

FAQ

Questions people ask about Meeting Recorder

Is Autessa Meeting Recorder free?

Yes. Autessa Meeting Recorder is free with every Autessa account, for unlimited users: everyone on your team can use it with no per-seat fees. You pay only for AI tasks.

What is Autessa Meeting Recorder?

Autessa Meeting Recorder is an AI meeting recorder and notetaker built into Autessa. You create a named recording bot, invite it to Zoom, Google Meet or Microsoft Teams meetings (or let your calendar do it), and every meeting comes back as a recording, a transcript, an AI summary with action items by person, and a recap email to the people who attended.

Which meeting platforms does it work with?

It works with Zoom, Google Meet and Microsoft Teams. The bot joins as a named participant. For anything else, such as a phone call you recorded or an in-person meeting, upload the file (MP4, MOV, MKV, WEBM, AVI, MP3, M4A or WAV) and it gets the same transcript and summary.

How does the bot know which meetings to join?

Four ways: invite its email address to the meeting, paste the meeting link on the bot's page, click Add bot next to an upcoming meeting, or link a Google or Outlook calendar and set it to auto-record every meeting or only meetings whose titles match your keywords. Each linked calendar has its own setting.

What does the AI summary include?

By default every summary has five sections: Big Picture, Highlights, Key Objections, Action Items by Person (a checklist for each person, with due dates when they were mentioned) and Goal for Next Call. It is written in the language the meeting was held in. Each bot's summary comes from a prompt you can edit, so you can change the sections, tone or language for every future meeting that bot records.

Can people outside my company see a recording?

Yes, through share links. You can email a recording to specific people, each with their own link, or copy a link to paste anywhere. Links expire, can require a one-time code sent to the recipient's email, show how many times they were opened, and can be revoked at once. Viewers do not need an Autessa account.

Can the meeting bot use our company email address?

Yes. The quickest option is an Autessa-hosted address that works in seconds. You can also connect a mailbox from your own Google Workspace or Microsoft 365 (so the bot joins as a member of your team), or run the bot on your own subdomain, such as bot.your-company.com, after adding the DNS records the setup screen shows you.

Will meeting participants know they are being recorded?

The bot joins as a visible participant under the display name you choose, and you can have it added to the calendar invite so attendees see it coming. If a host keeps it in the waiting room, nothing is recorded and the recording is marked Entry denied. Recording laws differ by place, so tell participants when you record.

How long are recordings kept?

Recordings are purged automatically after a 180-day retention window unless they are marked for legal hold. The purge is a regular tool you can open and edit, so you can keep recordings longer or shorter to match your own retention policy.

Does it work out of the box?

Yes. Create a bot, invite it to your next meeting and you get the recording, transcript, summary and recap with no setup. From there you shape it to how your company works inside Autessa: rewrite the summary template per bot, choose which calendars auto-record, set your own retention, and add your own steps and agents after every meeting.

Who on my team can use a bot?

Every bot starts private to the person who created it. They can share it with people, teams, roles or the whole company at one of three levels: Viewer (see recordings), Editor (send the bot, upload, retry, share recordings and manage calendar auto-record) or Admin (share and delete the bot).

Can I automate things with my meeting notes?

Yes. Every meeting is a row in your own AutessaDB table, so your agents, workflows and reports can use transcripts and summaries like any other data. A Meeting Bot Dispatch tool lets an agent send a bot to a meeting, and the Autessa CLI and API can list bots, upcoming meetings and recordings. Following your instructions, an agent can also call or email a participant about their open action items.

Ready when your next meeting is

Stop taking notes. Start every follow-up on time.

Use it out of the box: create a bot, invite it to your next Zoom, Meet or Teams call, and send everyone the same summary minutes after you hang up. Then tailor the summaries, calendars and follow-ups to your team in Autessa.
