Named recording bots

Autessa Meeting Recorder works through named recording bots. A bot is a meeting recorder with its own display name and email address: invite it to a Zoom, Google Meet or Microsoft Teams meeting and it joins, records, and writes the recording, transcript and AI summary into a table it owns.

The problem

One shared notetaker account turns into everyone's problem

When a whole company shares one notetaker login, nobody knows whose meetings it is in, recordings pile up in one place, and every team gets the same summary format. Meeting Recorder lets you create as many named bots as you need: one for sales calls, one for interviews, one for the board. Each keeps its own calendars, recordings, summary style and sharing, so it is always clear what a bot records and who can see it.

What you get

  • Each bot has a display name that participants see when it joins the call, such as "Acme Notetaker" or "Sales Recorder".
  • Each bot has its own email address you can invite to any meeting or forward invites to.
  • Display names are checked as you type so two bots at your company never share a name.
  • Each bot owns its own recordings table, summarizer, chat agent and automation, created for you in one step.
  • The bots list shows your own bots and any a teammate has shared with you.
  • A guided tour walks first-time users through creating a bot and sending it to a meeting.
  • Deleting a bot removes its recordings, transcripts, summaries, uploaded media and its automation in one confirmed step.

How it works

How does named recording bots work?

  1. 1

    Name it

Open Meeting Recorder and create a bot. Give it the display name people should see in the participant list. The name is checked for availability at your company as you type.

  2. 2

    Pick its email

Keep the recommended Autessa-hosted address, which works in seconds, or open the advanced options to use a Google Workspace or Microsoft 365 mailbox, or your own subdomain.

  3. 3

    Watch calendars (optional)

Choose which Google or Outlook calendars the bot watches. Leave it empty to decide later; you can still invite the bot by email or paste a link.

  4. 4

    Review and create

Check the name, email strategy and calendars and create the bot. A banner shows its address with a Copy button, ready to invite to your next meeting.

  5. 5

    Use it

The bot page has everything for that bot: calendars, Recordings, Upcoming, Sharing, Pipeline and Notifications, plus Paste URL and Upload recording.

FAQ

Questions about named recording bots

How many recording bots can I create?

You can create a bot for each purpose you have. Teams often keep separate bots for sales calls, interviews or internal meetings, so each has its own recordings, summary style and sharing.

What do meeting participants see?

They see a participant with the display name you chose. You can also have the bot added to the calendar invite so attendees see it before the meeting starts.

What happens when I delete a bot?

Deleting a bot permanently removes it and everything it made: its recordings table with every meeting, transcript, summary and uploaded file, its summarizer and its automation. You confirm before anything is deleted, so download or share anything you want to keep first.

Ready when your next meeting is

Try named recording bots on your next meeting

A bot is a named recorder with its own email address: participants see its display name when it joins, and it keeps its own recordings, calendars and summary style.
