What is it?

What is Autessa Document Signing?

Autessa Document Signing is the electronic signature product built into Autessa. It covers the full e-signature lifecycle: preparing a document (upload, signing order, fields, prefilled content, page edits), the signer experience (consent, a field checklist, draw, type or upload a signature, delegate or decline), tracking and closing (milestones, reminders, direct links, mark as executed, void), and proof (PAdES-B-T signatures, a Certificate of Completion and a cryptographically chained audit trail). Reusable templates, folders, sharing, an API, a scripting SDK and embedded signing complete it.

In short

  • Free with every Autessa account: unlimited users and unlimited envelopes.
  • Send PDFs, Word, Excel, PowerPoint, images and Outlook .msg files for e-signature.
  • Sequential or parallel signing, client groups and CC viewers.
  • Templates with roles and multi-document sets.
  • Sealed PDFs anyone can verify in a standard PDF reader.
  • An e-signature API, SDK and embedded signing for your own apps.

What makes it different

The details other e-signature tools skip

Every e-signature tool collects a signature. These are the parts of Autessa Document Signing that make the difference on real contracts with real people.

Upload any document

Autessa Document Signing accepts PDFs, Word, Excel, PowerPoint, OpenDocument, RTF, text, HTML, Pages, Outlook .msg and image files and converts each to a PDF on upload.

Client groups (any one signs)

A client group puts several people in one signer slot so that any one of them can sign for it, and an envelope can also be set to complete on the first signature.

CC viewers

Viewers are CC recipients who never sign: Autessa emails them a read-only copy on send, a clearly marked progress copy after each signature, and the sealed document at the end.

Prefilled content

Prefilled content (static text, multi-line text, static dates and images) is filled by the sender and flattened into the PDF at send, so every signature covers it and no signer can change it.

Page editing and redlines

Before sending, you can delete pages, append a PDF addendum, reorder pages and draw red strike lines through clauses, and the document is frozen once it is sent.

Delegate signer

Delegate signer lets a recipient add an alternate signer to their own slot, so either person can sign, with both named on the audit trail.

Direct signing links

Direct links give you a per-recipient signing link and one envelope-level link, so you can deliver signing outside email or sign in person on a tablet.

Signed copies for everyone

At completion every signer and viewer receives a link to a hosted download page that mints a fresh short-lived URL each time and offers a request-a-new-link button.

Mark as executed

Mark as executed seals a sent envelope with the signatures collected so far, marks the rest not required, closes their links and sends the final copy to those who signed.

Tamper-evident audit trail

Every envelope carries a cryptographically chained audit trail in which each event hashes into the next, so removing or altering an entry breaks the chain and shows Chain compromised.

PAdES digital signatures

Each signature is embedded in the PDF as a PAdES-B-T digital signature with an RFC 3161 trusted timestamp, keyed to an ephemeral per-signer certificate.

Multi-document templates

A template can hold a document set whose fields anchor to each document, so adding, replacing, reordering or renaming one file never moves fields on the others.

Scripts and automations

The autessa.eSignature SDK lets scripts, table triggers, scheduled jobs and agent tools create, send, remind and download envelopes inside Autessa.

Embedded signing

Custom Apps can render the hosted signer inline with the PdfSigner component, so users sign without leaving your app or opening an email.

Prepare and send a document for signature

The builder walks four steps, saves as you go, and refuses to send a contract with empty required clauses.

Step 0 · Upload

Start from the file you already have

Drop in a PDF, a Word document, an Excel sheet, a PowerPoint deck, an Outlook .msg or an image, up to 25 MB. Anything that is not a PDF is converted on upload, so you check the real pages before placing a single field.
  • PDF, Office, OpenDocument, RTF, text, HTML, Pages, .msg
  • PNG, JPG, GIF, BMP, TIFF and HEIC images
  • Title filled in from the file name

Step 1 · Recipients

Decide who signs, and in what order

Pick Everyone at once or One at a time. Signers sit in numbered slots, and under One at a time the slot number is the turn order: slot 1 is invited on send, and each next slot the moment the one before it signs.
  • Contact autocomplete from people you have sent to
  • Client groups: any one of several people signs a slot
  • Viewers CC’d on every version

Step 2 · Fields

Drag fields onto the page, and prefill the terms

Signature, Initials, Name, Email, Date signed, Text and Checkbox for signers; Static text, Multi-line text, Static date and Image for you. Label fields, mark them required, copy them across pages, and delete, append, reorder or redline pages while it is a draft.
  • Color-coded to each signer slot
  • Undo, redo, copy, paste and duplicate shortcuts
  • Prefilled content flattened into the PDF on send

How it works

How does sending a document for e-signature work in Autessa?

Four steps in the builder, then Autessa takes it from there.

  1. 0

    Upload

PDF, Word, Excel, images, .msg and more

  2. 1

    Recipients

Signing order, slots, client groups, viewers

  3. 2

    Fields

Drag fields, prefill content, edit pages

  4. 3

    Review

Check every slot, write the message, send

  1. Prefill is flattened

Your static content becomes part of the PDF. These bytes are what every signature covers.

  2. Links are minted

Each recipient gets a unique, single-use link. Autessa stores only its hash.

  3. Invitations go out

To every signer, or only slot 1 under One at a time. Viewers get a read-only copy.

  4. Signatures accumulate

Each signer’s submission embeds a PAdES signature that covers everything before it.

  5. The PDF is sealed

The last signature appends a Certificate of Completion and emails everyone a download link.

Audit trail and sealed PDFs

A signed PDF that proves itself

Each signature is embedded as a PAdES-B-T digital signature with an RFC 3161 trusted timestamp, keyed to an ephemeral per-signer certificate. Signatures accumulate, each covering everything before it, and a Certificate of Completion is appended at the end. Any change after signing is detectable in any standard PDF reader, not only in Autessa.

  • Hash-chained audit trail with a Chain verified badge
  • Actor, IP address, browser and time on every event
  • SHA-256 hashes of the original, prefilled and sealed PDF
  • Consent and identity attestation from every signer

API, SDK and embedded signing

Does Autessa have an e-signature API?

Yes. The Poweruser API creates, sends, reminds, voids and downloads envelopes and works with templates and folders. The autessa.eSignature SDK runs the same operations inside scripts, table triggers, scheduled jobs and agent tools. Apps you build on Autessa embed signing with the PdfSigner component, and the Autessa CLI lists, inspects, downloads and files envelopes. All of them drive the same service, with the same audit trail.

  ],
});
autessa.eSignature.envelope.send({ envelopeId: env.data.envelope.id });

Security

How is a signing link protected?

Each signing link is a single-use, high-entropy token that exists only in the recipient’s email; Autessa stores a hash of it and never the token itself. Envelopes are private to their owner until shared, every share is on the audit trail, sent documents are frozen, and completed contracts can never be deleted.

FAQ

E-signature questions, answered

What is Autessa Document Signing?

Autessa Document Signing is e-signature software built into Autessa. You upload a document, choose who signs and in what order, drag signature fields onto the pages and send it; signers sign in the browser from an emailed link, and the finished PDF is sealed with PAdES digital signatures, a Certificate of Completion and a tamper-evident audit trail.

Is Autessa Document Signing free?

Yes. Autessa Document Signing is free with every Autessa account, for unlimited users and unlimited envelopes: everyone on your team can send, with no per-seat fees and no envelope limits. You pay only for AI tasks.

Does it work out of the box?

Yes. Upload a document, add signers and fields, and send it the same day, with sealing, the audit trail and the Certificate of Completion built in. From there you tailor it to how your company works in Autessa: templates and roles, signing order, folders and automations that send and file envelopes for you.

Do signers need an Autessa account?

No. Signers get an emailed link and sign in the browser with no account, app or password. The link itself is the credential: a single-use, high-entropy token that Autessa stores only as a hash.

Can I send a Word document for signature?

Yes. Autessa accepts PDF, Word, Excel, PowerPoint, OpenDocument, RTF, plain text, HTML, Pages, Outlook .msg and image files (PNG, JPG, GIF, BMP, TIFF, HEIC) up to 25 MB, and converts anything that is not already a PDF on upload. What signers see and what gets sealed is the converted PDF.

Can people sign in a specific order?

Yes. Choose One at a time and only signer slot 1 is invited on send; when they finish, slot 2 is invited automatically, and so on. Choose Everyone at once and all signers are invited together.

How do I prove a signed document was not changed?

Every signature is embedded as a PAdES-B-T digital signature with an RFC 3161 trusted timestamp, so any change after signing is detectable in any standard PDF reader. The envelope also keeps SHA-256 hashes of the original, prefilled and sealed PDFs and a cryptographically chained audit trail with a Chain verified badge.

Are Autessa electronic signatures legally binding?

Autessa’s signing flow is built around what electronic signature laws such as the US ESIGN Act and UETA look for: each signer consents to electronic records and signatures, confirms who they are before submitting, and every action is recorded on the audit trail and summarized in a Certificate of Completion. Whether a particular document can be signed electronically depends on its type and jurisdiction, so check with your counsel for regulated documents.

Can I CC someone who does not need to sign?

Yes. Add them as a Viewer. Viewers get a read-only copy when you send, a progress copy marked not yet fully executed after each signature, and the sealed document when everyone has signed. They never hold up completion.

Does Autessa have e-signature templates?

Yes. A template holds a document set, a field layout and named roles such as Client and Provider, plus the signing order, completion policy and viewer roles. To send, click Use template and assign a person to each role.

Does Autessa send automatic reminders?

Yes. In the web app, Send reminder emails everyone outstanding and Resend link emails one person. For scheduled chasing, a scheduled script can call the reminder action through the AutessaScript SDK or the API. You can also have an agent call or email a signer who has not signed.

Is there an e-signature API?

Yes. The Autessa Poweruser API and the AutessaScript SDK (autessa.eSignature) create, send, remind, void and download envelopes and work with templates and folders. Apps you build on Autessa can embed signing with the PdfSigner component, and the Autessa CLI can list, inspect and file envelopes.

What happens if an invitation goes to spam?

Open the envelope and use Direct link. You get a link per recipient that opens straight into signing, and one envelope-level link where whoever opens it enters their email to reach their own slot. Paste either into a chat, a text or a calendar invite.

Is Autessa a good DocuSign alternative?

For teams that want signing order, client groups, CC viewers, templates, direct links and PAdES-sealed PDFs in the same place as their CRM, HR, files and apps, Autessa Document Signing is a strong alternative. It is built into Autessa, so contracts sit next to the rest of your work.
