Send for signature · Autessa Document Signing
Prefilled content
Prefilled content is the part of an Autessa envelope you fill in before sending: static text such as a price or a party name, multi-line text, a static date such as the effective date, or an image such as a logo or stamp. On send it is flattened into the PDF, so every signature covers it and no signer can change it.

The problem it solves
Typing the deal terms into the PDF is error-prone
Senders often edit the source file for every deal just to fill in a name, a price and a date, then hope nobody changes them. Worse, a contract sometimes goes out with an empty pricing clause. Prefilled fields keep the template untouched, lock the values into the signed PDF, and block the send until every required one is filled.
What you get
- Four prefilled types: Static text, Multi-line text, Static date and Image.
- Use them for prices, terms, party names, effective dates, logos, stamps or a pre-applied signature image.
- Signers see prefilled content baked into the page and cannot change it.
- On send, prefilled content is flattened into the PDF, and that file becomes the canonical document every signature is computed over.
- Required prefilled fields block sending: the review screen lists any empty ones by label and page, and a click jumps straight to each.
- The flattened PDF’s SHA-256 hash is kept on the envelope next to the original and sealed hashes.
How it works
Prefilled content, step by step
Drop a prefilled field
From the Prefilled section of the toolbox, drag Static text, Multi-line text, Static date or Image onto the page.
Fill the value
Type the value (shown to signers) or upload the image in the properties panel. Mark it required if the contract is not valid without it.
Review
If any required prefilled field is empty, the review screen lists it and blocks the send.
Send
Autessa flattens the values into the PDF before minting signing links, so what is signed is exactly what you filled.
Every option
Prefilled field options
| Option | What it does |
|---|---|
| Static text | A single line: a price, a term, a party name. |
| Multi-line text | A paragraph, such as a scope or special terms. |
| Static date | A fixed date, such as the effective date. |
| Image | A logo, a stamp or a pre-applied signature image. |
| Required | Blocks sending until filled. |
| Label | Names the field in the review warning, with its page. |
| Typography | Font, size and color for text values. |
Permissions
Who can do what?
| Who | Can |
|---|---|
| Sender (envelope owner) | Create the envelope, set recipients, place fields, edit pages while it is a draft, and send. The owner always holds ADMIN on their own envelope. |
| Colleague with WRITE | Rename the envelope. Preparing and sending a draft is the owner’s job. |
| Colleague with PUBLISH | Once sent: direct links, reminders, resend link, void and mark as executed. |
| Company admin | Decide which roles can use Document Signing at all. It appears in the sidebar only for people whose role allows it. |
Fill it from code
Scripts and the API can set prefilled values with a single prefill call, so a contract generated when a deal closes goes out with the right customer name, price and date already in place.

FAQ
Prefilled content: questions and answers
Can signers change prefilled content?
No. Prefilled content is flattened into the PDF when you send, so it is part of the document every signature covers.
What happens if I forget to fill a required prefilled field?
Autessa blocks the send. The review screen lists every empty required prefilled field by label and page, and clicking one jumps to it.
Can I add a logo or stamp?
Yes. Use the Image prefilled field and upload the image.

Make Autessa Document Signing fully your own.
Use it out of the box, then change anything. Ask Autobot, Autessa’s AI builder, for a new field, screen, report, workflow or agent and it builds it into your copy of the app. Or open the code and edit it yourself. Nothing is locked: the app, its data and its code are yours.
