Send for signature · Autessa Document Signing
Signing order
Autessa Document Signing supports both parallel and sequential signing. Choose Everyone at once and every signer is invited the moment you send; choose One at a time and only signer slot 1 is invited, with each next slot emailed automatically the moment the one before it signs.
The problem it solves
Some signatures have to come first
An internal approver should sign before a contract reaches the customer, and a countersignature belongs at the end. Without routing, senders end up watching their inbox and forwarding documents by hand. Signing order in Autessa makes the turn order part of the envelope, so the document travels on its own.
What you get
- Two signing orders: Everyone at once (parallel) and One at a time (sequential).
- Each required signature is a numbered signer slot; under One at a time the slot number is the turn order.
- Under One at a time, only slot 1 is emailed on send; each next slot is invited automatically when the previous one finishes.
- Signers past the current turn show as pending and have not been emailed yet, which is expected and not a delivery failure.
- A slot can hold several people as a client group, where any one of them signs for the slot.
- Viewers (CC) never take a turn, so they never slow a sequential envelope down.
- Templates store a default signing order that every envelope created from them inherits.
How it works
Signing order, step by step
Pick the order
At the top of the Recipients step, choose Everyone at once or One at a time.
Add signers to slots
Click Add signer for each person who must sign. Email is required; a full name is optional but makes the invitation email and the audit trail easier to read.
Arrange the slots
Order the slots the way you want the document to travel. Slot 1 signs first, slot 2 second, and so on.
Send and let it route
On send, Autessa invites slot 1 (or everyone, in parallel). Each signature under One at a time triggers the next invitation automatically.
Every option
Signing order options
| Option | What it does |
|---|---|
| Everyone at once | Every signer is emailed on send and can sign in any order, at the same time. |
| One at a time | Only slot 1 is emailed on send. Each next slot is invited the moment the previous slot is satisfied. |
| Signer slot | One required signature. The slot number is the turn order under One at a time. |
| Client group | Several people in one slot; any one of them signs for it. |
| Completion policy | Every slot must sign (the default), or the first signature completes the envelope. The first-signature policy cannot be combined with One at a time. |
| Name and email | Email is required for each signer; name is optional. Contact autocomplete fills both. |

| Who | Can |
|---|---|
| Sender (envelope owner) | Create the envelope, set recipients, place fields, edit pages while it is a draft, and send. The owner always holds ADMIN on their own envelope. |
| Colleague with WRITE | Rename the envelope. Preparing and sending a draft is the owner’s job. |
| Colleague with PUBLISH | Once sent: direct links, reminders, resend link, void and mark as executed. |
| Company admin | Decide which roles can use Document Signing at all. It appears in the sidebar only for people whose role allows it. |

FAQ
Signing order: questions and answers
Can I make people sign in a specific order?
Yes. Choose One at a time on the Recipients step. Only signer slot 1 is invited on send, and each next slot is invited automatically when the one before it signs.
Why hasn’t my second signer received an email?
Under One at a time, a signer is emailed only when it is their turn. Until the slot before them signs, they show as pending. That is expected.
Can everyone sign at the same time?
Yes. Choose Everyone at once and every signer is emailed the moment you send. They can sign in any order.
Do CC viewers affect the signing order?
No. Viewers hold no slot and take no turn, so they never hold up a sequential envelope.
