Security, privacy and access
Meeting recording security and privacy
Autessa Meeting Recorder keeps meetings private by default: bots belong to their creator until shared, every share link is personal, expiring and revocable with an optional one-time code, guests' chat only sees their one meeting, and recordings follow a retention window with legal hold.
Controls
How does Meeting Recorder protect meetings?
Private by default
Every bot starts private to its creator. Nobody else sees its recordings until it is shared.
Three access levels
Viewer sees recordings; Editor operates the bot; Admin shares and deletes it. The owner always has Admin.
Personal share links
Each recipient gets their own tokenized link, so access can be tracked and revoked per recording.
Expiry and one-time codes
Links expire (seven days by default) and can require a 6-digit code emailed to the recipient, valid for 10 minutes with limited attempts.
Revoke all
End every outstanding link for a recording in one click. Viewers see that the link was revoked.
Rate limiting
Repeated attempts on share links from one network are slowed down.
Scoped guest chat
Share-link viewers get an assistant with no tools that only knows their one transcript.
Retention and legal hold
Recordings are purged after a 180-day retention window unless on legal hold, and the purge filters are yours to change.
Visible bot
The bot joins as a named participant and can be added to the calendar invite. If the host does not admit it, nothing is recorded.
Remove at any time
Cancel a scheduled bot or remove it from a meeting in progress.
Connection health
Calendar and mailbox connections are checked hourly, and broken connections raise alerts.
Your own domain
Run the bot on your own subdomain with verified MX, DKIM and SPF records.
Data handling
What is stored, and where
| Data | How it is handled |
|---|---|
| Recording video and audio | On the meeting row in the bot's own table; played through short-lived secure links. |
| Transcript, language and summary | On the meeting row; shown to people with access and to share-link recipients. |
| Participants | On the meeting row; used to send recap emails. |
| Share tokens | Stored hashed with recipient, expiry, open count and whether a code is required. |
| One-time codes | Short-lived and single use; never stored in plain text. |
| Calendar events | Read from the calendars you link to decide which meetings to join. |
| Deletion | Deleting a bot deletes its recordings, transcripts, summaries, uploaded media and automation. |

FAQ
Security questions
Who can see my meeting recordings?
Only you, until you share. Share the bot with people, teams, roles or the company at Viewer, Editor or Admin, or share one recording with a personal link.
How are shared recordings protected?
Each link is personal to its recipient and expires, seven days by default. Links can require a one-time code sent to the recipient's email, show how often they were opened, and can be revoked at once.
How long does Autessa keep recordings?
For a 180-day retention window by default, then they are purged automatically unless marked for legal hold. You can change the purge filters to match your policy.
Where can I find Autessa's security and compliance documentation?
On the Autessa Trust Center at trust.autessa.com.
Do participants know they are being recorded?
The bot joins under a visible display name and can be listed on the calendar invite. Recording and consent laws vary, so tell participants when you record.
100% customizable, code and all
