Meetings as data, retention and legal hold
Autessa Meeting Recorder stores every meeting as data you own. Each recording is a row in the bot's own AutessaDB table, with the video or audio, transcript, language, summary, participants, status, start time and a legal-hold flag. Recordings are purged after a 180-day retention window unless on legal hold, and the purge rule is yours to edit.
The problem
Meeting notes trapped in another vendor's app
Most notetakers keep your meetings in their own silo. In Autessa, meetings are rows in a table next to the rest of your data, so your agents can read them, your reports can count them, and your retention policy can govern them.
What you get
- One table per bot, with a column for each part of the meeting.
- Columns for video, audio, transcript, transcript language, summary, participants, status, start time, errors and partial recording.
- A legal-hold flag that keeps a recording out of the retention purge.
- Retention purge runs weekly and removes recordings past the retention window, 180 days by default.
- The purge is a regular delete tool with filters you can edit to keep recordings longer or shorter.
- Open the recordings table from the bot's Pipeline tab, or open a single recording's row directly.
How it works
How does meetings as data, retention and legal hold work?
- 1
A meeting is recorded
A row is created as soon as the bot is scheduled.
- 2
Each stage fills a column
Media, then transcript, then summary land on the same row.
- 3
Use the data
Query the table, build reports, or give it to your agents.
- 4
Retention runs
Every Sunday the purge removes recordings older than the window, unless on legal hold.

FAQ
Questions about meetings as data, retention and legal hold
How long are recordings kept?
For a 180-day retention window by default, then they are purged automatically unless marked for legal hold. Edit the purge tool's filters to keep them longer or shorter.
Can I keep a recording forever?
Mark it for legal hold and the retention purge skips it.
Can I use meeting data in reports or agents?
Yes. Each meeting is a row in a table you own, so it works with anything else in Autessa that reads tables.
