Access control
Sharing what an app uses
When you share an Autessa app, agent, multi-agent, tool or scheduled job, the Share dialog lists the tables, tools and agents it uses under Resources this uses and shares them in the same step. Access is only added or raised, never lowered, and all the changes are reviewed and saved together, or none are.
The problem
What problem does it solve?
The classic sharing failure: you share an app, your colleague opens it, and every table is empty because the app’s data was never shared. The fix people reach for is “give everyone admin”.
How it works
- 1
Share the app
Add people, teams or roles and their levels as usual.
- 2
Check Resources this uses
Each row shows current and needed access with a badge: Already has access, Will add, Will upgrade, Ask the owner, or Not needed.
- 3
Pick how much
Only what’s needed (tables the app saves to get Editor, everything else Viewer), or Same access as the app, which gives each person their own level all the way down.
- 4
Review once, save once
The summary lists every resource that will change and every warning. If anything cannot be saved, nothing is.
Every option
Sharing what an app uses: settings and options
| Setting | What it does |
|---|---|
| Only what’s needed | The default. Tables saved to: Editor. Tables read, tools, agents: Viewer. |
| Same access as the app | Each holder’s own level, never below what the app needs, rounded down to levels a resource offers. |
| Per-row level | Change any row’s level or untick it. |
| Share what it uses… | Fix access for people who already have the app, without changing who has it. |
| Remove linked access | When removing someone, optionally remove only the linked access this resource added. |
Permissions
Who can do what?
| Who | What they can do |
|---|---|
| Admins of each linked resource | Share it in the same step. |
| Non-Admins | See an Ask badge naming who to ask, and may continue without that resource. |
| Resources that follow a parent | Show who has access “via” the parent, but are shared only through it. |
What to know
- Apps published with Public, Access Code, Custom Auth or Personal access links hosting show “Not needed: this app runs with its own permissions”.
- Sign-in user tables and access-link tables follow their app; connector-created tables follow their connector.

FAQ
Sharing what an app uses: questions
Will sharing an app lower anyone’s access to its tables?
No. Access is only added or raised. Anyone with more access than the app needs keeps it.
What if I am not an Admin of one of the app’s tables?
That row shows Ask with the owner’s name. You can untick it and continue; the dialog warns that the app may not fully work until it is shared.
Does it follow chains, like an app that runs an agent that runs tools?
Yes, with Same access as the app it goes all the way down, so the agent’s tools are included.
Get started with Sharing what an app uses
Sharing an app or agent lists every table, tool and agent it uses, gives each only the access it needs (or the same access as the app), never lowers anyone, and saves everything together or nothing.

100% customizable, code and all
Make Autessa Security & Compliance fully your own.
Use it out of the box, then change anything. Ask Autobot, Autessa’s AI builder, for a new field, screen, report, workflow or agent and it builds it into your copy of the app. Or open the code and edit it yourself. Nothing is locked: the app, its data and its code are yours.
