Employee onboarding and offboarding
Autessa IT Desk automates IT onboarding and offboarding. A New hire request creates the account, laptop, software seat and day-1 tasks, timed from the start date, and the provisioning task hands over the best available laptop; Offboard employee creates a task for every app seat and device the person holds, timed from their last day. Joiners and leavers come from the people directory shared with Autessa Homebase.
The problem
Day one without a laptop, day ninety still with access
New hires waiting for accounts and leavers who keep access to every SaaS app are two of the most common IT failures. Both come from checklists that live in someone's head. IT Desk turns them into timed tasks driven by the start and end dates.
What you get
- Four starter lifecycle templates: Onboarding, Offboarding, Laptop provisioning, and Device return and wipe.
- Onboarding steps: Create accounts, Reserve or order a laptop, Provision the laptop, Assign software seats, Day-1 checklist, each due a set number of days before or on the start date.
- Offboarding steps: Disable sign-in, one Revoke seat task per app seat, one Collect device task per device, Transfer data ownership, Confirm no access remains.
- Closing a Provision task assigns a laptop: the one picked on the task, or the best Available match for the requested model.
- Closing a Revoke seat task revokes the seat, and closing a device task returns the asset to stock.
- People, Incoming and People, Leaving show who starts and who goes, with a person summary of their devices and seats.
- HR fulfillers can work their own onboarding steps as assignment-group members.
How it works
How does employee onboarding and offboarding work in Autessa IT Desk?
A person is coming or going
Homebase owns the directory, so people starting soon show as Incoming and people leaving show as Leaving.
Order the lifecycle item
Order New hire (onboarding) or Offboard employee, naming the person and the start or end date.
Timed tasks appear
The template creates the steps with due dates counted from that date, assigned to the right groups.
Work the checklist
Close each task as it is done. Provision tasks hand over a laptop; revoke and collect tasks update seats and assets.
Confirm
The last step confirms no access remains, and the person's history shows every seat and device given and taken back.
Every option

AI assist
How the IT Desk Assistant helps
Ask the IT Desk Assistant to "Onboard a new hire": it opens the right catalog item and helps fill it. On a Provision task it can pick the laptop for you.
The assistant acts as you, with your role. It fills forms but never saves them, and anything risky waits for you to press Confirm.

FAQ
Questions about employee onboarding and offboarding
How does Autessa IT Desk know who is joining or leaving?
From the people directory it shares with Autessa Homebase. People with a future start show as Incoming, and people with a leaving date show as Leaving.
Does offboarding catch every app?
It creates one revoke task for every active app seat the person holds in IT Desk, and one collect task for every device assigned to them.
How is the new hire's laptop chosen?
Someone can pick one from stock on the provisioning task. If nobody does, closing the task assigns the best Available laptop that matches the requested model.
