Hardware asset management
Autessa IT Desk includes hardware asset management as part of IT asset management (ITAM): every laptop, desktop, monitor, phone, tablet, server and peripheral is tracked from on order to retired. Each move (assign, return, repair, missing, found, retire) is a button on the asset, and every move writes a permanent line in asset history.
The problem
"Who has that laptop?" should never need a spreadsheet hunt
Spreadsheets drift. Devices are handed over in the hallway, repairs disappear, and a leaver's laptop is never collected. IT needs one record per device that shows who has it, what state it is in, when the warranty ends and everything that ever happened to it.
What you get
- Lifecycle states with substates: On order, In stock, In use, In repair, Missing and Retired.
- Lifecycle buttons on the asset do the right thing: Assign, Return to stock, Send to repair, Repaired, Mark missing, Found, Retire.
- Returned computers go back to stock as Pending wipe by default; other devices go back as Available.
- A person keeps the assignment while their device is in repair, and a loaner can be assigned separately.
- Financial details on every asset: cost, currency, purchase date, warranty end, vendor and PO number.
- Asset history records every assignment, return, repair and retirement with who did it, when, and the task behind it.
- Ready-made lists for Out of compliance and Warranty ending in 90 days.
- A computer asset without a configuration item gets one in the CMDB, so incidents and changes can point at it.
How it works
How does hardware asset management work in Autessa IT Desk?
Add or import devices
Create assets one by one or import a CSV. Each asset gets an asset tag, a category, a model and a serial number.
Assign to a person
Press Assign and pick the person. The asset moves to In use and the hand-over is written to its history and the person's record.
Repair, return or report missing
Send a device to repair (in-house, with vendor or warranty claim), return it to stock, or mark it lost, stolen or not returned. Found brings a missing device back to stock.
Retire
Retire a device with a disposal method: disposed, recycled, sold, donated or returned to vendor. Retired is final and clears the assignment.

AI assist
How the IT Desk Assistant helps
Ask the IT Desk Assistant "which laptops are free?" or "show devices whose warranty ends this quarter" and it applies the filter to the list. It can run lifecycle moves for you, and anything risky waits for your Confirm.
The assistant acts as you, with your role. It fills forms but never saves them, and anything risky waits for you to press Confirm.

Does Autessa IT Desk do hardware asset management?
Yes. It tracks every device through on order, in stock, in use, in repair, missing and retired, with substates, warranty and cost, and a full asset history.
Can I see everything a person has ever been assigned?
Yes. The person's record shows the assets and app seats they hold and the history of every device assigned to or returned from them.
How do devices get into IT Desk?
Add assets by hand, import them from CSV, or let IT Desk workflows such as onboarding create them for you.
Can I track warranties?
Yes. Every asset has a warranty end date, there is a Warranty ending (90 days) list, and the weekday IT digest mentions warranties ending within 30 days.
