Check a report
Autessa Ethics Hotline lets a reporter check their report any time with the case code and passphrase: they see the current status, a progress line from Received to Closed, the facts of the report and a timeline of every update and message, all without signing in or revealing who they are.
Why it matters
Silence after reporting feels like nothing happened
When reporters never hear back, they assume the report was ignored, and they tell colleagues not to bother. Reporters need to see that their concern is moving, even when the committee can’t share details. The Check a report page shows progress in reporter-friendly words, and closes cleanly on a shared computer.
What you get
- A simple form: case code and passphrase, with a show or hide toggle for the passphrase.
- The current status in reporter-friendly words: Received, Being reviewed, Under investigation, Resolved, Closed, or Closed after review.
- A five-stop progress line that marks what is done and what is current.
- Facts at a glance: kind of concern, the date sent, and Anonymous or Confidential (email updates).
- A timeline of status changes and messages, oldest first, with dates and times in the reporter’s own time zone.
- A Done button that forgets the passphrase and clears the page, with a reminder for shared or work computers.
- Plain error copy when the code and passphrase don’t match, and rate limits after repeated tries.
How it works
How does check a report work?
Open Check a report
From the hotline’s top bar, the speak-up page, the confirmation page or a confidential reporter’s status email.
Enter the case code and passphrase
The code is forgiving about case and dashes. If either is missing, the field says so plainly.
Read the status
The heading is the current status, with the facts and the progress line underneath.
Read updates and reply
The timeline shows every status change and message. While the case is open, a reply box sits underneath.
Choose Done
The page drops the passphrase from memory and returns to the empty form.
Every option
What the reporter sees for each case state
| Option | What it does |
|---|---|
| New | Received |
| Triage | Being reviewed |
| Investigating | Under investigation |
| Resolved | Resolved |
| Closed | Closed (no new messages) |
| Dismissed | Closed after review |
Permissions
Who can do what?
The hotline’s access rules are enforced on the server for every request, not just hidden in the interface.
| Who | What they can do |
|---|---|
| Reporter (anyone with the hotline link; no account, no sign-in) | Open their own report with its code and passphrase, read the status and timeline, and reply while it is open. |
| Ethics committee member | See on the case page exactly which label the reporter sees for each state. |
| Anyone without both values | Nothing; the hotline answers only “We couldn’t find a report with that case code and passphrase.” |

FAQ
Questions about check a report
Can an anonymous reporter check the status of their report?
Yes. With the case code and passphrase they open the Check a report page and see the status, a progress line and every update and message, without signing in or sharing who they are.
What does a reporter see when their case is dismissed?
They see “Closed after review”. The committee’s internal resolution and outcome summary are never shown to the reporter.
Is it safe to check a report on a shared computer?
Yes, with care. The passphrase is never saved in the browser, and choosing Done clears it from the page. The page reminds reporters to choose Done on shared or work computers.
