Reporter status emails
Autessa Ethics Hotline emails confidential reporters when their case changes state or when the committee sends a message. The email says only the new status, or that a message is waiting, with a link to check the report. It never contains report details, names or the message itself.
Why it matters
Reporters who asked to be kept informed shouldn’t have to keep checking
A confidential reporter gave the committee a way to reach them. Making them return to the hotline every few days to find out nothing changed wastes that trust. But email is not a safe place for case details. Ethics Hotline sends a short, content-free nudge, and the details stay behind the case code and passphrase.
What you get
- Sent to confidential reporters only; anonymous reporters have no address on file.
- Triggered when the state changes or a committee member sends a message.
- Says only the new status or that a message is waiting, plus a link to Check a report.
- Never includes report text, names, messages or outcomes.
- The committee is told before every state change whether the reporter will be emailed.
- One switch in Settings turns these emails on or off for the whole hotline.
- Test mode can route every email to one address while you try things out.
How it works
How does reporter status emails work?
A member changes the state or writes a message
The confirm dialog or toast says the reporter will be emailed “the new status (no details)”.
The hotline sends a short email
From the hotline, with the case code, the new reporter-facing status and a link.
The reporter checks the report
They still need the case code and passphrase to read anything more.
