Anonymous reporting · Autessa Ethics Hotline
Speak-up page
Autessa Ethics Hotline includes a public speak-up page: the front door of your whistleblower hotline. In plain words it tells people what they can report, promises no retaliation, explains how anonymity works and what happens next, and says what to do in an emergency, with two clear buttons: Make a report and Check a report.
Why it matters
People don’t speak up when they aren’t sure it’s safe
Most concerns never reach anyone because the person who saw something is not sure it counts, not sure who will read it, or afraid of what happens next. A hotline page that opens with a login wall, legal text or a long form loses them in seconds. The speak-up page answers those three doubts before anyone types a word.
What you get
- A headline and introduction in your organization’s own words, with “Speak up safely.” as the standard opening.
- Three promises up front: no retaliation, anonymous if you want, and you choose who sees it.
- A “What you can report” section that lists the kinds of concern, plus “Not sure if it counts? Report it anyway.”
- A three-step “What happens next” explainer: case code and passphrase, committee review, check back for questions.
- An emergency note (by default, call 911) shown right under the buttons.
- An explainer of Anonymous versus Confidential reporting, and of two-way private messages.
- A calm “The hotline isn’t open yet” panel instead of a broken form while setup is unfinished.
- No sign-in, no cookies banner of its own, and no IP address or device details recorded.
How it works
How does speak-up page work?
Someone opens the hotline link
From a poster, the handbook, the intranet or an email. The page loads without an account and without asking who they are.
They read the promises
No retaliation for good-faith reports, anonymous if they want, and they choose which committee members can see it. Retaliation itself is listed as something they can report.
They check what counts
The “What you can report” box lists fraud and accounting problems, security or privacy incidents, harassment or discrimination, safety issues, conflicts of interest, policy or legal violations and retaliation.
They see what happens next
A short numbered list explains the case code and passphrase, the committee’s review time and how to check back, so nothing about the process is a surprise.
They choose Make a report or Check a report
Two buttons lead to the guided report form or to the page where an earlier report can be opened with its code and passphrase.
Every option
What the speak-up page shows, and where it comes from
| Option | What it does |
|---|---|
| Organization name | Shown in the page text. Set in Settings, Hotline page text. |
| Introduction | The paragraph under “Speak up safely.” Leave it empty for the standard text. |
| What to report | The body of the “What you can report” section. |
| Emergency note | Shown under the buttons. The standard text says to call 911 and that the hotline is not monitored around the clock. |
| After a report is sent | Used in “What happens next” and on the confirmation page. The standard text says the committee usually reviews within 5 business days. |
| Open or not open | When setup is unfinished or the data key is turned off, the page shows a calm “not open yet” panel and hides the report buttons. |
Permissions
Who can do what?
The hotline’s access rules are enforced on the server for every request, not just hidden in the interface.
| Who | What they can do |
|---|---|
| Reporter (anyone with the hotline link; no account, no sign-in) | Read the page, start a report, or check an earlier one. Nothing about the visit is recorded. |
| Ethics committee member | Edit the page text in Settings. Every save is recorded in the access log. |
| Company admin who is not on the committee | Finish setup so the hotline opens. They cannot change case data unless they are on the committee. |

FAQ
Questions about speak-up page
Do reporters need an account to use the hotline?
No. The speak-up page, the report form and the Check a report page all work without signing in. Reporters never create an account, and the hotline does not record their IP address or device details.
Can we change what the hotline page says?
Yes. In Settings, the committee edits the organization name, introduction, what to report, the emergency note and what happens after a report is sent. Leave a box empty to use the standard text.
What does the page show before the hotline is set up?
A calm “The hotline isn’t open yet” message with the emergency note, and no report buttons. People never see a broken form.
Does the page promise no retaliation?
Yes. It states that retaliation against anyone who raises a concern in good faith is not tolerated, even if the concern turns out to be mistaken, and that retaliation itself can be reported through the hotline.
