Team directory
Autessa AI Receptionist routes calls by a team directory: each teammate adds a card saying, in one or two sentences, which calls are theirs, whether the AI receptionist may put calls through to them, and whether to ring their browser phone, their cell, or both. Names, titles and cell numbers come from Homebase, so the directory never drifts from your people records.
The problem it solves
Phone trees go stale the day someone changes roles
Extensions and department menus are set up once and forgotten. The people who know which calls are theirs are your teammates, so they write it down themselves, in plain words, and the receptionist picks it up within a minute.
What you get
- Each teammate writes "Call me for" in plain words, for example "Enterprise customers, security incidents and anything about integrations."
- Messages for those topics are assigned to them, and urgent calls alert them right away.
- "Take calls from the receptionist" is on by default; turn it off to keep getting messages without being put through.
- Ring the Autessa browser phone, the cell number in Homebase, or both at the same time.
- A status line shows exactly where calls will ring, and warns if there is no cell number in Homebase.
- Everyone can see the whole directory: name, title, what to call them for, whether they take calls and how calls reach them.
- Changes reach the receptionist within a minute, and the directory re-syncs from Homebase each morning.

What the AI does
How the receptionist handles it
The screener and the after-call reviewer both read "Call me for" to decide whose topic a call is, so plain, specific sentences route best. The receptionist itself is never shown the directory.

Questions
Questions about team directory
How does the AI receptionist know who handles what?
Each teammate adds a directory card and writes, in a sentence or two, which calls are theirs. The screener and reviewer match calls against those sentences.
Can I get messages without being put through?
Yes. Turn off "Take calls from the receptionist". Calls are not put through to you, but messages and urgent alerts for your topics still come to you.
Where does my cell number come from?
From Homebase. If there is no cell number there, the directory says so and only your browser phone rings.
How are calls routed?
By what each person says their calls are. Callers just say what they need, with no extensions or keypad menu to work through.
