HRIS and employee records
Custom fields with field-level privacy
Autessa Homebase lets HR add custom fields to employee records, and each custom field has its own visibility: everyone, the person, their managers and HR, or HR only. The server returns only the values a viewer may see, so a private field never leaks into the directory, a search or an assistant answer.
- Eight field types, from text and dates to people and yes or no
- Visibility per field: everyone, managers and HR, or HR only
- Grouped into your own sections on the profile
- Edits never wipe values the editor cannot see
The problem
Every company tracks something the HRIS did not plan for
T-shirt sizes for swag, a desk or neighborhood, a work authorization expiry date. Without custom fields these end up in side spreadsheets, and the sensitive ones get shared with too many people. Homebase lets HR add the field once, decide who can see it, and keep it on the employee record.
How it works
How custom fields with field-level privacy works in Homebase
Define the field
In Settings → Custom fields, HR gives the field a label, a type and, for drop-downs, its choices. Optional help text explains what it is for.
Choose who sees it
Pick Everyone, The person, their managers and HR, or HR only. Labels on the form show it, for example “(HR only)”.
Place it on the profile
Give it a section (such as Swag or Office) and an order. Mark it required if it must be filled in.
Fill it in
HR edits values on the profile. Only the fields that changed are saved, so values the editor cannot see are kept as they were.

FAQ
Questions about custom fields with field-level privacy
Can I add custom fields to employee profiles?
Yes. HR administrators add custom fields in Settings → Custom fields, choosing a type, a section and who can see each one.
Can a custom field be HR only?
Yes. Mark it HR only and the server never sends its value to anyone else, including in the directory, search and the assistant.
What field types are supported?
Text, long text, number, date, single choice, multiple choice, a person, and yes or no.
What happens if I turn a field off?
It stops showing on profiles, but the values already recorded are kept, so you can turn it back on later.
