Health insurance census
Autessa Homebase builds the health insurance census a broker or insurer asks for to quote a health plan: every employee, followed by the dependents on their plan, with sex, date of birth, age, home ZIP and coverage tier, saved as an Excel file. Only the data owner can export it, with or without Social Security numbers, and every export is logged.
- Broker-ready census as an Excel file
- Employees and their covered dependents, with coverage tier
- Social Security numbers are write-only and never shown again
- One data owner exports; every export is recorded
The problem
Census season means chasing spreadsheets
Every renewal, a broker asks for a census and HR rebuilds it by hand from emails, old forms and memory, often passing Social Security numbers around in the process. Homebase keeps the details on each profile all year and exports the file in one click, with the sensitive parts locked down.
How it works
How health insurance census works in Homebase
People add their details
On My profile, employees add their sex, home ZIP, Social Security number and dependents (spouse, domestic partner or child), and mark who is covered on the health plan. HR can fill them in on a profile too.
Check what is missing
The census page lists missing details person by person, so HR can ask for them before exporting.
Export
The data owner downloads the Excel file: Family ID, relationship, last and first name, sex, date of birth, age, home ZIP and coverage tier. Social Security numbers are included only when they tick the box.
Keep the record
Every export is recorded on the page, so you always know who exported the census and when.
Options and settings
Every option, in plain words
| Option | What it does |
|---|---|
| Columns | Family ID, Relationship, Last name, First name, Sex, Date of birth, Age, Home ZIP and Coverage tier. |
| Include Social Security numbers | Off by default. Most quotes need none; include them only when enrolling, if the insurer asks. |
| Who is included | Every employee (not contractors), followed by the dependents on their plan. |
| Data owner | The one person who can export the census. Set once, by an HR administrator who is also a company administrator. |
| Write-only SSN | A stored number shows only as On file with Replace; nobody can read it back. |
| Self-service edits | Whether people update their own details depends on the self-service privacy switch; otherwise HR keeps them. |

FAQ
Questions about health insurance census
What is a health insurance census?
It is the spreadsheet a broker or insurer asks for to quote a group health plan: each employee and their covered dependents with sex, date of birth, age, home ZIP and coverage tier. Homebase builds it for you as an Excel file.
Does the census include Social Security numbers?
Only when the data owner ticks Include Social Security numbers. Most quotes need none, so they are left out by default.
Can anyone in HR see employees’ Social Security numbers?
No. A Social Security number is written but never read back by anyone: the field only shows On file and offers Replace.
Who can export the census?
Only the data owner, one person set once by an HR administrator who is also a company administrator. Every export is logged.
Are contractors included?
No. The census covers employees and the dependents on their plan.
