Employee self-service and HR workspace
HR roles, permissions and privacy
Autessa Homebase uses role-based permissions enforced on the server: HR administrators, HR partners for the departments they look after, executives and knowledge authors are set in Settings → HR roles, managers are anyone with people reporting to them, and everyone with a record is an employee. Privacy switches decide who sees pay and reviews, and the same rules apply to every page, search and assistant answer.
- Managers are derived from the org chart, no role needed
- HR partners scoped to their departments
- Switches for pay and review visibility
- Every change kept in the audit history
The problem
HR data is the most sensitive data you have
Salaries, reviews, time-off reasons and personal details must never leak to the wrong colleague. Hiding buttons is not enough. Homebase decides every read and write on the server by role and reporting line, so nothing private can show up anywhere it should not.
How it works
How hR roles, permissions and privacy works in Homebase
Give HR roles
In Settings → HR roles, give HR staff and executives a role. HR partners get the departments they look after.
Managers come from the org chart
Anyone with people reporting to them sees their team’s time off, reviews and goals. No role needed.
Set the privacy switches
Choose whether managers see the pay of people below them, executives see everyone’s pay, executives read every review and promotion case, and people update their own personal details.
Trust the server
Every page, search, report and assistant answer is filtered for the viewer. Every change is recorded in the history.
Options and settings
Every option, in plain words
| Option | What it does |
|---|---|
| HR administrator | Everything in HR, including settings. |
| HR partner | Everything about the people in the departments they look after. |
| Executive | Org-wide reports, reviews and promotion cases, with pay per the privacy settings. |
| Knowledge author | Writes knowledge articles, except HR-internal ones. |
| Managers see the pay of people below them | Off by default. |
| Executives see everyone’s pay | For headcount and budget planning. |
| Executives read every review and promotion case | For calibration and promotion committees. |
| People update their own personal and emergency details | Off means they ask HR to change them. |
| Directory is public | Names, titles, teams, managers and work contact details are visible to everyone; personal details are not. |
| Private by design | Time-off reasons, 1:1 private notes and anonymous peer authors stay private; HR sees that a 1:1 series exists, never its notes. |

FAQ
Questions about hR roles, permissions and privacy
Who can see salaries in Autessa Homebase?
Each person sees their own pay and HR sees everyone’s. Executives see pay unless HR turns that off, and managers see their team’s pay only if HR turns that on.
Do managers need an HR role?
No. Anyone with people reporting to them is a manager and sees their team automatically.
Can an HR partner see the whole company?
No. An HR partner covers the departments listed on their role. HR administrators cover everyone.
Are permissions only enforced in the user interface?
No. The server decides every read and write, for every page, search, report and the assistant.
Is there an audit trail?
Yes. Every change is written to the history automatically, and nobody can edit it.
