PTO and leave management
PTO policies, accruals and balances
Autessa Homebase handles PTO policies and accruals: each kind of time off grants days each year, earns them monthly, or has no set limit (unlimited PTO). Carryover, maximum balances, notice and half days are set per policy, every change is written to a ledger, and balances are recalculated every night.
- Granted each year, earned monthly, or no set limit
- Carryover and maximum balances per policy
- An append-only ledger behind every balance
- Optional negative balances, set by HR
The problem
Balances nobody can explain lose everyone’s trust
When PTO lives in a spreadsheet, a balance is just a number someone typed. Homebase writes every grant, monthly accrual, carryover, day taken, cancellation and HR adjustment to a ledger, so any balance can be explained line by line.
How it works
How pTO policies, accruals and balances works in Homebase
Set up your policies
Setup installs starter types such as paid time off, sick time, parental leave and unpaid leave. HR edits them to match your rules.
Choose how days are earned
Granted each year, earned monthly, or no accrual where HR adds days. The first year is prorated by start date.
Set the limits
Days that carry over, a maximum balance where accrual stops, notice in days, half days, and whether it needs approval.
Let it run
Every night Homebase recalculates each person’s balance per type and year from the ledger.
Correct with an adjustment
Entries are never edited. To fix a balance, HR adds an adjustment with a note, and the ledger keeps who made it.
Options and settings
Every option, in plain words
| Option | What it does |
|---|---|
| How days are earned | Granted each year, earned monthly, or no accrual (HR adds days). |
| Days a year | For annual grants and monthly accrual. The first year is prorated by start date. |
| No set limit | Unlimited PTO: people still register days off so they are counted and their calendar is blocked. |
| Maximum balance | Accrual stops at this many days (0 means no maximum). |
| Days that carry over | Up to this many unused days move into the next year (0 means none). |
| Needs approval | Off means requests are booked at once, like sick time. |
| Notice | How many days ahead people must ask (0 means any time). |
| Half days allowed | Whether people can take a morning or afternoon. |
| Colleagues see the type | Off means the team calendar shows only “Out”. |
| Who can take it | Limit a policy to certain people; empty means everyone. |
| Negative balances | In Settings → Time off: how many days people may go below zero, or none. |

FAQ
Questions about pTO policies, accruals and balances
Does Autessa Homebase support PTO accrual?
Yes. Policies can earn days monthly or grant them each year, with the first year prorated by start date and balances recalculated every night.
Does Homebase support unlimited PTO?
Yes. Choose no set limit; people still record their days off so time taken is counted and their calendar is blocked.
How does carryover work?
Each policy sets how many unused days carry into the next year. Zero means none carry over.
Can employees go into a negative balance?
Only if HR allows it. Settings → Time off sets how many days people may go below zero, and the default is none.
How do I correct a balance?
Add an adjustment in the ledger with a note. Ledger entries are never edited, so every balance can be explained.
