Access management

Autessa IDF Manager lets Admins manage who does what in Settings, under Access: add someone by email with a role, change a role inline from the people list, or remove it. Anyone not on the list can read public fields only, and IDF Manager warns before you remove the last Admin or your own access.

The problem

Access changes are where programs break

People join the patent committee, inventors move teams, counsel changes. If changing a role means removing and re-adding someone, or if the last administrator can lock everyone out, access management becomes a risk of its own.

What you get

  • Add someone by email and pick a role, with a one-line description of what that role can do.
  • Change a role inline from the people list; no need to remove and re-add.
  • Remove access; the person falls back to Viewer.
  • Warnings before changing or removing your own Admin role, or removing the only Admin.
  • The people list shows each email, role and the date it was added, with you marked.
  • A "What each role can do" card on the same page.
  • Role changes are written to the activity feed.

How it works

  1. Open Settings, then Access

Admins and Reviewers can open Access; only Admins can change it.

  2. Add someone

Enter an email, pick Admin, Reviewer, Contributor or Viewer, and press Add.

  3. Change or remove

Pick a new role from the dropdown on their row, or press remove. Confirm if you are changing an Admin.

FAQ

Questions about access management

How do I give an inventor access?

An Admin opens Settings, then Access, enters the inventor’s email, picks Contributor and presses Add.

What happens if I remove someone’s role?

They become a Viewer and can still read public fields. To keep them out entirely, also remove their access to the app.

Can I lock myself out?

IDF Manager asks you to confirm before you demote or remove your own Admin role, or remove the only Admin, so it cannot happen by accident.
