Roles and permissions

Autessa IDF Manager has a role for everyone in an invention program (Admin, Reviewer, Contributor and Viewer), each defined by an explicit list of what it can do. Inventors write and submit their own disclosures, reviewers score and move them and see the legal and commercial fields, and Admins manage access.

The problem

Inventors and counsel need different views

An inventor should be able to write and follow their disclosure without seeing the committee’s scores or the attorney’s notes. A reviewer needs all of it. Roles that separate those views, and that never assume "higher" roles can do everything, keep the program both open and discreet.

What you get

  • Admin: full access, manages roles, sees the activity feed, edits and deletes any disclosure, and configures the workspace.
  • Reviewer: sees legal, commercial and review fields, moves disclosures through the pipeline, posts internal comments, deletes attachments.
  • Contributor: creates disclosures, edits and submits their own, attaches files and comments. Sees public fields only.
  • Viewer: reads public fields. Anyone not given a role is a Viewer.
  • Restricted fields (scores, review, legal and commercial) are removed before a Contributor’s or Viewer’s screen is drawn.
  • Buttons and tabs a role cannot use are not shown, and moves are re-checked before saving.
  • Ownership matters: Contributors edit only disclosures they authored.

How it works

How does roles and permissions work in Autessa IDF Manager?

  1. Start with Viewers

Everyone who opens IDF Manager without a role can read public fields.

  2. Grant Contributor to inventors

An Admin adds inventors as Contributors so they can write and submit.

  3. Grant Reviewer to the committee

Patent committee members and counsel become Reviewers.

  4. Keep a few Admins

Admins manage access and branding; IDF Manager warns before the last Admin is removed.

FAQ

Questions about roles and permissions

What roles does Autessa IDF Manager have?

Admin, Reviewer, Contributor and Viewer. Admins manage access, Reviewers evaluate and move disclosures, Contributors write and submit their own, and Viewers read public fields.

Can a Reviewer edit someone else’s disclosure?

No. Reviewers can edit the review, legal and commercial fields on any disclosure and move it through the pipeline, but only Admins can edit another person’s disclosure text.

What does someone without a role see?

They are treated as a Viewer and can read the public fields of disclosures. They cannot create, edit or comment.

Are roles a substitute for deciding who can open the app?

No. Roles decide what each person sees and can change inside IDF Manager. Give access to the app itself only to people who belong in your invention program.
