Review inbox
The Autessa Accounting review inbox holds every transaction a person has not approved yet, from Mercury sync and uploaded statements alike. Rows arrive already coded where possible; approve everything coded automatically in one go, or work row by row with keyboard shortcuts. Nothing reaches the ledger until a person approves it.
The problem
Bookkeeping is mostly the same ten decisions, every week
Coding transactions one at a time in a spreadsheet is slow, and fully automatic categorization puts guesses into the books. The review inbox does the cheap work automatically and keeps a person on every decision, fast enough to clear a week of spend in minutes.
What you get
- Coding order, cheapest first: the card’s department, project and default category; then merchant rules; then an AI suggestion.
- Filters: Everything waiting, Coded automatically, Needs a category, Money in, Possible duplicates, and Approved not posted.
- Keyboard: j next row, k previous row, a approve, e edit the coding, i ignore with a reason.
- Approve everything coded automatically at once.
- Confirming a category can write a merchant rule (“Remember this”), so that merchant is coded automatically from then on.
- Ignoring asks for a reason: this is a real line on the statement and will never be a journal entry. The row stays visible with the reason.
- Moving an approved row back needs no reason, because nothing was in the books yet.
- For Mercury transactions, the approved category and note are written back to Mercury.
How it works
How does review inbox work in Autessa Accounting?
Transactions arrive coded
Sync and uploads drop rows in the inbox with the card defaults, a rule or an AI suggestion already filled in.
Approve in bulk
Approve every row coded automatically in one action, after a glance.
Work the rest by keyboard
Move with j and k, approve with a, fix with e, or ignore with i and a reason.
Post to the books
Approved rows post to the ledger when you post them, each writing a balanced journal entry.
Every option
Review states and actions
| Option | What it does |
|---|---|
| States | Pending, approved, rejected (ignored), posted. |
| Coding | Category, department, project, note. |
| Remember this | Write a merchant rule from the confirmed category. |
| Apply to matching | Preview and apply a category to every waiting row from the same merchant. |
| Ignore | Requires a reason; the row stays visible. |
| Mark as a transfer | Send it to Match transfers instead of posting it as spending. |
| Search | Find rows by description. |

AI assist
Where AI helps, and where it stops
When no card default or rule applies, Autessa’s AI classifier suggests a category from your own category list, with a reason. Suggestions are labeled, never applied on their own, and never touch the debit and credit math. Approving one can write a rule, so the same merchant is not asked about again.
AI only ever suggests a category. A person approves every row, and AI never touches the debit and credit balancing.

FAQ
Questions about review inbox
Does anything post to the books automatically?
No. Every transaction waits in the review inbox until a person approves it, and approved rows post when you post them.
Are there keyboard shortcuts?
Yes: j and k move between rows, a approves, e edits the coding and i ignores with a reason.
What does ignoring a transaction mean?
It means the line is real on your statement but will never be a journal entry. Ignoring asks for a reason, and the row stays visible with it.
