Figures and supporting documents

Autessa IDF Manager lets you attach figures and supporting documents to any invention disclosure. Images (PNG and JPG) appear as a grid of figures; documents (PDF, Word, Excel, plain text and .eml email files) are listed with their size, uploader and date. Each file can be up to 10 MB.

The problem

The drawing is in someone’s downloads folder

The sketch that explains an invention, the bench data that proves it works and the email thread that dates it usually live in three different places. Attaching them to the disclosure itself means reviewers and counsel see the evidence alongside the claim, and nothing is lost when someone changes teams.

What you get

  • Drag files onto the drop zone or browse; several files upload in one go.
  • Images (PNG, JPG, JPEG) are stored as figures and shown as a thumbnail grid that opens full size on click.
  • Documents (PDF, DOC, DOCX, TXT, XLS, XLSX, EML) are listed with file size, who uploaded them and when.
  • Files over 10 MB, or of an unsupported type, are refused with a clear message before upload.
  • File links are short-lived and fetched fresh every time a file is opened, so a stale link never fails.
  • Figures load only as they scroll into view, and documents are only fetched when someone opens them.
  • Adding or removing a file is written to the activity feed.

How it works

How does figures and supporting documents work in Autessa IDF Manager?

  1. Open the Attachments tab

On any disclosure, open the Attachments tab.

  2. Drop in your files

Drag figures and documents onto the drop zone, or browse for them. Each file is checked for type and size first.

  3. They are sorted for you

Images are filed under Figures and everything else under Documents, each with a count.

  4. Open or remove

Click a figure or a document to open it in a new tab. Reviewers and Admins can delete attachments, after a confirmation.

FAQ

Questions about figures and supporting documents

What file types can I attach to an invention disclosure?

Images in PNG or JPG format, shown as figures, and documents in PDF, Word (DOC, DOCX), Excel (XLS, XLSX), plain text (TXT) and email (EML) format. Each file can be up to 10 MB.

Why do attachment links stop working after a while?

Links to files are short-lived on purpose, so a copied link does not stay open forever. Clicking the file again in IDF Manager fetches a fresh link automatically.

Who can delete an attachment?

Reviewers and Admins. Contributors can add files but not remove them, which keeps the evidence on a submitted disclosure intact.

Can I add captions to figures?

Figures are labelled by their file name, so naming files "FIG-1-overview.png" works well. Click any figure to see it full size.
