Disclosure records and reference codes

Every invention disclosure in Autessa IDF Manager is one record with a reference code (for example IDF-2026-0014) and a single page that holds it all: an Overview of the disclosure, its Attachments, the reviewers’ Review fields, Comments and Activity. The status, who last moved it and when it was updated sit at the top.

  • IDF-YEAR-NUMBER, quotable in email and meetings
  • Review and Activity tabs appear only for roles that can use them
  • Created and first-submitted timestamps

The problem

"Which disclosure do you mean?"

Without a number, invention disclosures are referred to by half-remembered titles, and the facts about them are scattered across email, spreadsheets and shared drives. A reference code and one record page give everyone the same thing to point at.

What you get

  • A reference code in the form IDF-YEAR-NUMBER is assigned when the disclosure is first saved, and can be searched.
  • The header shows the title, description, status, reference code, when it was last updated and who last moved it.
  • Tabs for Overview, Attachments, Review, Comments and Activity. Review and Activity appear only for roles that can use them.
  • The Overview lists the author, inventors, collaborators and tags, the created date and the first submission date.
  • Disclosure sections render as formatted Markdown, and empty sections are simply left out.
  • Action buttons along the top show only the pipeline moves you are allowed to make, plus Edit and Delete where your role permits.
  • Deleting a disclosure asks for confirmation and is limited to Admins.

FAQ

Questions about disclosure records and reference codes

How are invention disclosures numbered?

Each disclosure gets a reference code in the form IDF-YEAR-NUMBER, such as IDF-2026-0014, when it is first saved. You can search for it in the Patent Ideas list.

Why can’t I see the Review tab?

The Review tab, with scores and legal and commercial fields, is only shown to Reviewers and Admins. Contributors and Viewers see the Overview, Attachments and Comments.

Can a disclosure be deleted?

Yes, by an Admin, after a confirmation. Deleting cannot be undone, so most teams reject or put a disclosure on hold instead.
