The problem
Reminders for meetings that moved are worse than none
A call for a meeting that was moved an hour ago sends you into an empty room. A reminder system that cancels too eagerly is worse: one hiccup reading a calendar and real meetings go quiet. Meeting Reminders is careful in both directions.
What you get
- A meeting moved to a new time is treated as new and gets its own call at the new time.
- A scheduled call whose meeting no longer appears on your calendar is cancelled on the next scan.
- The cancellation reason is written on the row: “Meeting no longer on the calendar (removed or rescheduled).”
- At call time the row is checked one last time, so a cancelled call never rings.
- If any calendar fails to load or returns only part of its events, no calls are cancelled that scan.
- Meetings from calendars that did load are still booked as usual.
How it works
How does reschedules and cancellations work?
- 1
You change your calendar
Move a meeting to a new time, or delete it from your calendar.
- 2
The next scan notices
Within 30 minutes (or immediately, with Refresh) the scan sees the change.
- 3
Moved meetings
The new time is booked as a fresh call. The old time’s call is cancelled because that meeting is no longer on the calendar.
- 4
Removed meetings
The scheduled call is set to Cancelled with the reason, and when its time comes it does not ring.
- 5
Safe on errors
If any calendar could not be read in full, the scan books what it can and cancels nothing until every calendar reads cleanly again.
Every option
How changes are handled
| Option | What it does |
|---|---|
| Meeting moved | Fresh call booked at the new time; the old call is cancelled. |
| Meeting removed | Scheduled call set to Cancelled: “Meeting no longer on the calendar (removed or rescheduled).” |
| Call time check | The call re-reads its row before dialing and skips anything not Scheduled. |
| Calendar error | No cancellations that scan; other calendars still booked. |
| Partial calendar list | Treated like an error: booking continues, cancelling waits. |
| Cancelled by you | A row you set to Cancelled stays cancelled; scans do not re-book it. |

FAQ
Questions about reschedules and cancellations
What happens if a meeting is moved?
It gets a fresh reminder call at the new time, and the call for the old time is cancelled because that meeting is no longer on the calendar.
What happens if a meeting is canceled?
On the next scan its scheduled call is set to Cancelled with the reason “Meeting no longer on the calendar”, and it does not ring.
What if Google or Outlook has an outage?
Nothing is cancelled. If a calendar cannot be read in full, the scan still books meetings from the calendars it could read and waits to cancel anything until every calendar reads cleanly.
