The problem
A reminder is only as good as its calendar data
Calendars change all day. A reminder tool that only reads your calendar once a morning misses afternoon invites; one that relies on your laptop being open misses the rest. Meeting Reminders keeps reading, on Autessa’s side, around the clock.
What you get
- A scan runs every 30 minutes, day and night, while the setup is active.
- Each scan reads the next 24 hours of every linked calendar.
- New timed meetings get a call booked at start minus lead time.
- Meetings already in the calls log are left alone, so you never get two calls for one meeting.
- Refresh runs a real scan right now and updates the calls list.
- One calendar that fails to load never stops reminders for the others.
- Pausing the setup turns the scan off; resuming turns it back on.
How it works
How does calendar scan and refresh work?
- 1
The scan starts
Every 30 minutes, or when you press Refresh, the scan reads the next 24 hours on each linked calendar.
- 2
It filters
All-day events are dropped, duplicates across calendars are merged, and calls that would land in quiet hours are marked Quiet hours instead of booked.
- 3
It books
Each new meeting gets a row in your calls log and a one-time call at start minus lead time. Meetings already in the log are left as they are.
- 4
It reconciles
Scheduled calls whose meeting has disappeared are cancelled, but only when every calendar was read cleanly.
Every option
Scan details
| Option | What it does |
|---|---|
| How often | Every 30 minutes while the setup is active. |
| How far ahead | The next 24 hours. |
| On demand | Refresh on the Scheduled calls card; scan-now in the CLI. |
| Already logged | A meeting with any existing row (Scheduled, Called, Quiet hours, Failed or Cancelled) is not booked again. |
| Failures | If one calendar cannot be read, the others are still booked and no calls are cancelled that scan. |
| Paused | Pausing the setup disables the recurring scan. |

FAQ
Questions about calendar scan and refresh
How often are my calendars checked?
Every 30 minutes, looking 24 hours ahead. Press Refresh any time to check right now.
Can I get two calls for the same meeting?
No. Once a meeting has a row in your calls log, later scans leave it alone, and a meeting on two calendars is booked once.
What does Refresh do?
It runs a real calendar scan immediately, books calls for any new meetings and reloads the calls list. It is the same as running autessa phone-reminders scan-now.
