Double-booking protection

Autessa Meetings is built so nobody is double booked: it holds a time the moment someone books, confirms it on the calendar, retries on its own if a calendar is slow, and treats any calendar it cannot read as busy.

Goes further than a typical scheduler

Every booking, start to finishSample
1Time heldThe moment Sam presses Book, 10:30 is held. Nobody else can take it.
2ConfirmingAdded to Jordan’s booking calendar. Usually under a minute.
3ConfirmedInvite sent with the Google Meet link. The page updates on its own.
4If the calendar changedTime conflict: nothing is scheduled, Sam picks another time.

A background check runs every few minutes and retries anything that has not reached a calendar.

The problem

Two people, one slot

Simple schedulers can sell the same time twice, or confirm a meeting that never reaches a calendar. Meetings checks again at booking time and tells everyone the truth about where the booking stands.

For the people who book

People are never told they are booked when they are not. If the time is gone, they see “That time is no longer available” and pick another.

What you get

  • A hold is placed the instant a time is booked, so nobody else can take it.
  • If the time was just taken, the person goes back to fresh times with a clear message.
  • If the calendar changed mid-booking, the booking becomes a time conflict and nothing is scheduled.
  • A background check every few minutes retries bookings that did not reach a calendar.
  • The confirmation page updates itself until the Meet or Teams link is ready.
  • Calendars that cannot be read count as busy: fail closed, never double booked.

How it works

How does double-booking protection work in Autessa Meetings?

  1. 1

    Book

The person picks a time; Meetings holds it.

  2. 2

    Confirm

The meeting is added to the booking calendar and the invite goes out.

  3. 3

    Retry if slow

If the calendar is slow, the booking shows “Confirming” and Meetings retries on its own.

  4. 4

    Flag what needs you

Anything that still fails appears as Needs attention, with Try again.

FAQ

Questions about double-booking protection

Can two people book the same time?

No. The first booking holds the time immediately, and the second person is asked to pick another.

What if the calendar is down?

The booking shows as Confirming, Meetings keeps retrying, and the invite arrives when the calendar responds.

What if a host’s calendar disconnects?

That host is treated as busy until they reconnect, so no one books over a meeting Meetings cannot see.
