Invoice tracking and statuses
Autessa Payments tracks each invoice through seven statuses (Draft, Sent, Viewed, Processing, Paid, Payment failed and Void) and flags sent invoices past their due date as Overdue. The invoice list filters by Drafts, Outstanding, Paid and Void with counts, and every invoice has an activity timeline.
The problem it solves
Knowing who owes you should take one glance
Without accounts receivable tracking, overdue invoices hide in a sent folder. Autessa shows what is outstanding, what your customer has opened, what is clearing and what has failed, with the next action right on the invoice.
What you get
- Viewed means your customer opened the pay page, so you know a quiet invoice was at least seen.
- Processing means they paid by bank account and it is clearing, usually a few business days.
- Payment failed keeps the pay link working so your customer can try again, and they are emailed a link to pay.
- Outstanding groups Sent, Viewed, Processing and Payment failed into one filter.
- The activity list shows when it was sent, viewed, reminded, paid or refunded.
- Actions on the invoice: Send invoice, Send reminder, Copy pay link, Record a payment, PDF, Save as template, Make it recurring and Void.
- A private void reason is kept for you; the customer never sees it.
How it works
How does invoice tracking and statuses work in Autessa Payments?
Filter the list
Choose All, Drafts, Outstanding, Paid or Void. Counts per status come with the list, 25 invoices per page.
Spot what needs you
Overdue shows next to sent invoices past due. Payment failed and Processing explain themselves on the invoice.
Open the invoice
See status, amount due or paid (with any refunded amount), the due date, what your customer sees and the activity.
Act
Send a reminder with the same link, copy the link for a text, record an offline payment or void it.
Every option
Statuses and filters
| Option | What it does |
|---|---|
| Draft | Saved, not sent. You can still edit it. |
| Sent | Emailed and waiting for payment. |
| Viewed | Your customer opened the pay page. |
| Processing | Paid by bank account and clearing. |
| Paid | Paid online or recorded as paid. |
| Payment failed | An attempt didn’t go through; the link still works. |
| Void | Canceled; it can’t be paid. Optional private reason. |
| Overdue | A flag on sent invoices past their due date. |
| Filters | All, Drafts, Outstanding, Paid, Void, with counts. |

AI assist
How AI helps here
Agents can read an invoice’s status, totals, reminders and allowed actions through the CLI and scripting surface (get-invoice, list-invoices), so a support or finance agent can answer “has Ortiz Studio paid yet?”.
Nothing that creates, sends or changes money happens until a person confirms it.

Questions about invoice tracking and statuses
How do I see all unpaid invoices?
Use the Outstanding filter. It includes Sent, Viewed, Processing and Payment failed invoices.
Can I tell if my customer opened the invoice?
Yes. The status changes to Viewed when they open the pay page, and the activity list records when.
What happens when I void an invoice?
The pay link stops working and the invoice can’t be paid. It keeps its number, so there are no gaps, and you can add a reason only you see.
