Autessa Ethics Hotline
Administration
Autessa Ethics Hotline is set up in minutes and configured on one Settings page: who is told, how long cases are kept, and what the hotline says.
The area
What does administration cover?
Notifications, retention and purge, the hotline page’s wording, and a guided setup with a narrow data key you can rotate or turn off.
Running a hotline should be a few decisions on one page: who is told, how long cases are kept, what the hotline says, and whether it is open. Ethics Hotline puts all of them in one Settings page with no tabs, and every change is logged.
Who works here
Committee members manage settings; the person who installed the hotline manages its data key; company admins run first-time setup.
In one sentence each
- Committee notifications · The committee is emailed about new reports, reporter messages, assignments and committee changes, and every email leaves report details out and points back to the workspace.
- Retention and purge · Closed and dismissed cases are kept for a retention period you set (1 to 25 years), then a member can purge the content while the code, category, dates and outcome stay.
- Hotline page text · The committee edits what the hotline page says (organization name, introduction, what to report, emergency note and what happens after sending), with plain standard text as the fallback.
- Guided setup · Guided setup gives the hotline a narrow data key that can read and write but never delete, checks every part is installed, then walks the first member through starting the committee.

FAQ
Questions about administration
Do hotline notification emails include the report?
No. Every email from the hotline leaves report details out and points to the workspace (or, for reporters, to the Check a report page).
How long should ethics hotline records be kept?
It depends on your legal and audit obligations; seven years is common for audit records. Autessa Ethics Hotline lets you choose any period from 1 to 25 years after a case closes.
Can we customize our ethics hotline page?
Yes, the words. The committee edits the organization name, introduction, what to report, emergency note and after-submit note in Settings; empty boxes use the standard text.
How long does it take to set up an ethics hotline?
Minutes. Make the data key (a few seconds), claim the first committee seat, add a second member and run a hotline test.
