The area

What does case management cover?

The ethics committee workspace: a case inbox, a clear state flow from New to Closed, assignment, internal notes and recorded outcomes for every hotline report.

Ethics case management turns each hotline report into a case with an owner, a state, a conversation, internal notes and a recorded outcome, so nothing depends on someone’s inbox and every case can be explained later.

Who works here

Members of the ethics committee, in a private workspace behind Autessa sign-in. Members a report leaves out never see it.

In one sentence each

  • Case inbox · The case inbox lists every hotline report a committee member may see, with filters by state, category and age, unread markers and counts of open cases and new messages.
  • Case workflow · Every case moves through New, Triage, Investigating, Resolved and Closed (or Dismissed), and each move is confirmed with a note of exactly what the reporter will see.
  • Case assignment · Each case can be assigned to one committee member, chosen only from members who are allowed to see it, and the assignee is told about new reporter messages.
  • Internal notes · Internal notes keep interview summaries, next steps and decisions on the case, signed and dated, for committee members who can see it and never for the reporter.
  • Case outcomes · Every case records an outcome: a resolution, from substantiated to referred elsewhere, plus an internal summary of what was found and done.

FAQ

Questions about case management

Can committee members see every hotline report?

They see every report that doesn’t leave them out. If a reporter excluded a member, that case never appears in their inbox, and opening it directly gives the same “not found” as a case that doesn’t exist.

What are the stages of an ethics hotline case?

New, Triage, Investigating, Resolved and Closed, with Dismissed for reports closed after review. The reporter sees friendlier labels: Received, Being reviewed, Under investigation, Resolved, Closed and Closed after review.

Can a case be assigned to a committee member the report is about?

No. If the reporter left a member out, that member is never offered as an assignee, can’t see the case and isn’t emailed about it.

Can the reporter see internal notes?

No. Internal notes are for committee members who can see the case. The reporter only ever sees committee messages and status changes.

What resolution codes does the hotline use?

Six: Substantiated, Partly substantiated, Not substantiated, Not enough information, Not in scope, and Referred elsewhere.
